Responsibilities
  • Data Entry: Job costing all accounts payable bills, logging transactions, recording and reviewing journal entries, creating invoices, and crafting spreadsheets.
  • Clerical Duties: This person will handle incoming mail, scan, and photocopy documents, and prepare quarterly reports. They also help with year-end audits and bank reconciliations. They will collect and maintain all legal/entity documents from Subcontractors.
  • Customer Service: Clear and professional communication with vendors and customers about invoices and payments. This could be by email or phone.
  • Employee Expenses: Assisting with payroll is one of the most important parts of the job description. They verify timesheets, calculate vacation and sick days, prepare checks, and assure compliance with laws and best practices.
  • Financial Reports: Help accounting managers create and update financial reports. They work on balance sheets, statements of income, statements of retained earnings, and cash flow statements.
  • Account Reconciliation: This position will assist in reconciling accounts to ensure there are multiple eyes on each category of expense transactions such as checks, ACH payments, credit card charges, petty cash movements, etc.
  • Invoicing: Utilizing the company CRM and QuickBooks online to send itemized and detailed invoices for each completed job to customers, insurance companies, and title companies.
Requirements
  • Bachelor’s degree in accounting, or a Certified Management Accountant certification (CMA)
  • 1+ year in corporate accounting or a similar role
  • Strong understanding of accounting principles and practices
  • Proficient in using Quickbooks accounting software.
  • Excellent attention to detail and accuracy
  • Strong analytical and problem-solving skills
  • Ability to prioritize tasks and meet deadlines
  • Excellent written and verbal communication skills
  • High level of integrity and professionalism
